Client Information & Policies

At Trailhound Media, we're committed to delivering high-quality aerial media while ensuring safety, professionalism, and transparency. Please review the information below to understand how we work and waht you can expect as our client. 

 

  • FAA Certified – All flights are operated by FAA Part 107 certified pilots.

  • Airspace Awareness – Flights comply with FAA regulations and local restrictions (no-fly zones, national parks, etc.).

  • Weather Conditions – Flights are weather dependent. Strong winds, rain, or unsafe conditions may require rescheduling.

  • Site Safety – We assess each location prior to flight to ensure safe operations for people, property, and equipment.

 

Scheduling & Rescheduling

Advance Notice – Please book at least 7 days in advance when possible.

Weather Delays – If conditions are unsafe, we will reschedule at no additional cost.

Client Cancellations – Cancellations within 48 hours may be subject to a fee.

Deposit – A non-refundable deposit (typically 25–50%) may be required to secure your booking.

Final Payment – Due upon delivery of the final project, unless otherwise agreed.

Accepted Methods – Credit card, ACH, check, or PayPal.

Turnaround Time – Standard delivery is 3–7 business days depending on project scope.

Editing – All videos include basic editing; advanced editing (voiceover, branding, custom graphics) can be arranged.

Revisions – One round of revisions is included; additional edits may incur fees.

  • Client Use – Final media is licensed for the agreed-upon purpose (marketing, sales, internal use, etc.).

  • Commercial Use – Business and real estate clients receive a commercial usage license.

  • Trailhound Media Use – We reserve the right to use select footage in our portfolio unless otherwise agreed.

Projects within 50 miles of Franklin, NC qualify for a Local Discount.

This discount applies to both one-time projects and recurring services.

Provide access to property/site (including permissions if required).

Notify us of any safety concerns (power lines, animals, restricted areas).

Ensure on-site contacts are available during scheduled flights.

  • Client footage and project details are kept confidential and secure.

  • Raw files may be stored for backup purposes but are not shared with third parties without consent.

  • Portfolio & Marketing Use – Unless otherwise stated in writing before deliverables are finalized, Trailhound Media reserves the right to use select B-roll footage (not the full final product) for our own marketing, social media, and portfolio.
